The purpose of the lobby, main and breakout rooms is to allow a controlled yet simple way to access the video meeting environment. The transfers are managed using the VC Connect portal by either the host of the meeting or a customer's own video operator.

It creates a dynamic yet secured environment for people accessing the system, without the requirement for external guests to work with PIN numbers.

In the scenario below, an external guest has an invitation to join a video meeting. The only details they need to be provided with are in the QuickLink webpage. In the example:

  1. The guest joins the Lobby and waits to be joined into the conference room.
    1. The guest is transferred to the breakout room for ID validation before joining the conference. If successfully validated they are either placed back into the lobby until the time to be transferred in or directly into the main video room (optional process)
  2.  When time to move the guest from the lobby to the main video room, either the host of the meeting or the customer's own video operator will transfer them. At no point has the guest needed PINs, yet they have been validated and securely moved into the meeting room.
  3. When there is a side collaboration required between participants of the meeting, then the host the customer's own video operator can transfer those participants into the breakout room. Once completed they can be moved back to the main video room. None of the participants required PINs for this transfer process to work as this is operator controlled.

Participants wishing to join either the main video room or breakout rooms directly must know the PIN numbers for either host or guest roles. Without them the room will not be invoked. Internal users or validated/trusted participants may be given these PINs although they are easily changed from within VC Connect portal if required.
